UC Microsoft Consolidated Campus Agreement (MCCA)
Departments may lease software based on FTE (Full Time Employees). This benefits departments that have more computers than staff, and upgrade Microsoft products often. Please see below for a list of enrolled departments.
If the number of your department's computers is equal to or greater than your FTE for faculty and staff, and if your department upgrades Office, Windows, or Server OS's at least once every 3 years, this agreement may be cost-effective for your department. The price will go down if we meet certain enrollment levels.
UC enrollment is effective July 1st each year. New enrollments and renewals are due at ACMS/Software Distribution on April 15th, each year. Mid-term new enrollments may also be available on an irregular basis. contact us at software@ucsd.edu well before April 15th to work out the details.
All the other changes (Prices and products changing) will happen in March about mid-month.

Costs
Payment must be made via UCSD departmental recharge. All prices include tax and access to downloads of the software. These prices assume electronic distribution. The FTE (Full-time employee; see below) calculation is based upon your April payroll numbers.
We assume you will be renewing and that you will be recharged on the same index number as the previous year. So, only changes in payroll count or products desired will need to be modified when we send your renewal notice. If you do not opt out in the 2 week opt out period ending on the deadline, we will renew your department, and charge your department, using the previous year's enrollment details.

Note Exchange hosted services will require changing how your mail is routed to go off campus and back. Your Email addresses will change.
Contact your IT support before implementing this to understand how changing all your email addresses will impact your operations, and consult with the university business practices to ensure that any such change will not conflict with business of the university rules.

Calculating Your FTE (Full-Time Employees)
The FTE calculation is based upon your April payroll numbers. To calculate your FTE:
- Get your number of full time faculty, part time faculty, full time
staff, and part time staff from the Payroll department.
- Multiply each of the above by the following:
- Full time faculty: 1
- Part time faculty: 1/3
- Full time staff: 1
- Part time staff: 1/2
- Add the numbers up.
Report each of the 4 categories above, and round the total number up to the nearest whole FTE.
The computation of FTE from Microsoft follows:
Counting Faculty/Staff FTE
Campus Agreement 3.4 Subscription pricing is based on a count of your total faculty/staff Full-time Equivalent (FTE) employees and requires organization-wide coverage of the products selected. To that end, you must include all of the FTE in your organization (defined as the entire institution or one or more entire departments). These FTE counts are the same numbers institutions in the United States must report to the federal government as represented in IPEDS Form S, and are calculated as follows: For example, you have 2000 full time faculty, 3000 part time faculty, 1000 full time staff and 1000 part time staff. The FTE count is calculated as follows:
2000 + 3000/3 + 1000 + 1000/2 = 4500 FTE
Note: Student employees must be counted as part time staff when calculating your total faculty/staff FTE.
An enrolling department could be "Project in Cognitive and Neural Development" as an example case, but there is no sharing outside of that department (for instance "up stream" in CRL or in CogSci). If CogSci or CRL wish to enroll, the project would be counted and covered. And employees also include in-kind employees.
A student working 2 hours and being paid, or in-kind, or a regular staff person working 20 hours all count as 50% of a FTE.

With Campus Agreement Subscription, you license all of the computers and users in the participating departments for use of the most current Microsoft software for up to 12 months at a time. This is the easiest and most cost-effective way to license Microsoft software.

While traditional licensing is per-computer, Campus Agreement Subscription provides licensing coverage for all computers within a department based on an employee count (Full-Time Equivalency), rather than a PC count. If a faculty or staff member has more than one computer, both are covered. Since licensing is based on the FTE count, new desktops added to a department are automatically covered for the subscribed products at no additional cost.

- Work at home support
Under Campus Agreement Subscription, faculty and staff have the opportunity to use the same Client Access Licenses (CAL's) from home as they use from work. Note: The computer must be brought to campus and software installed on campus to exercise this option in the case of desktop software. The software must be removed by the department when the WAH user is leaving the department, or upon the department leaving MCCA. - Coverage for open access computer labs
For participating departments, open access computer labs are covered for the same products licensed to the department's faculty and staff.

All MCCA participants that have the Academic Desktop coverage are entitled to use Mac Office Pro. Mac Office Pro comes with Virtual PC - but alone does not include an OS. Rights to Windows XP Pro or Vista Business/Enterprise or Ultimate come by way of Windows Upgrade coverage - which is included in the Campus Desktop enrollments. Windows upgrades in this agreement can be used for up to 4 instances per computer (in virtual or real instances).
